The following guidelines and terms and conditions outline the responsibilities and expectations of all members of the Indian Rail & Mobility Association (IRMA). By becoming a member, individuals and organizations agree to adhere to these terms, ensuring professionalism, ethical conduct, and a collaborative spirit within the rail and mobility industries.
1. Membership Eligibility
Eligibility Criteria: Membership is open to individuals, companies, organizations, and government bodies involved in the rail and mobility sectors. All members must adhere to IRMA’s values and uphold the industry standards.
Application Process: Prospective members must submit a completed application form, providing relevant details about their business or role in the industry. IRMA reserves the right to approve or reject applications based on alignment with its goals and values.
Membership Fee: IRMA members must pay an annual membership fee as determined by the Association. Fees are non-refundable and due on the date specified by IRMA.
2. Member Responsibilities
Compliance with the Code of Conduct: Members are required to comply with IRMA’s Code of Conduct, upholding integrity, transparency, safety, and professionalism in all business operations and activities.
Legal and Ethical Standards: Members must conduct their operations in compliance with all applicable laws, regulations, and industry standards relevant to the rail and mobility sectors.
Confidentiality: Members must maintain the confidentiality of sensitive information provided through IRMA activities, meetings, or collaborations, and not use such information for any personal or improper purposes.
Active Participation: Members are encouraged to actively engage in IRMA events, research, working groups, and other activities. This includes sharing knowledge, offering expertise, and contributing to discussions that advance the goals of the Association.
3. Member Benefits
Access to Resources: Members receive exclusive access to IRMA publications, industry reports, research initiatives, and advocacy updates.
Networking Opportunities: Members have the opportunity to connect with industry professionals, companies, and government representatives through IRMA-hosted events, conferences, and workshops.
Representation: IRMA advocates on behalf of its members in industry forums, with government agencies, and on matters of public policy.
Discounted Event Rates: Members may be eligible for discounted rates to attend IRMA events, conferences, webinars, and workshops.
4. Member Code of Conduct
All members must adhere to the Code of Conduct and follow these specific behavioral expectations:
Integrity: Members must act with honesty and fairness in all dealings, both within IRMA and externally within the industry.
Respect: Treat all other members, stakeholders, and participants with respect and courtesy, fostering a collaborative and inclusive environment.
Accountability: Take responsibility for the impact of their actions, ensuring that they act in a manner that does not bring the industry, IRMA, or the profession into disrepute.
Safety & Sustainability: Prioritize safety in all operations, actively contributing to improving industry safety standards. Members should also embrace sustainable practices that benefit the environment and society.
5. Use of IRMA Name and Logo
Authorized Use: Members may use the IRMA logo and name for promotional purposes related to their membership, provided they follow the guidelines set by IRMA.
Misrepresentation: Members must not use IRMA’s name or logo to mislead the public or imply endorsement of their business activities outside of IRMA’s official scope.
Approval for Branding: Any use of IRMA’s name or logo in promotional materials, advertisements, or public-facing content requires prior written approval from IRMA.
6. Conflict of Interest
Disclosure: Members must immediately disclose any potential conflict of interest related to their involvement with IRMA. A conflict of interest occurs when a member’s personal or business interests may interfere with their ability to act in the best interests of IRMA or the industry.
Managing Conflicts: Members should work with IRMA to manage and resolve conflicts of interest. Failure to disclose a conflict may lead to disciplinary action or suspension of membership.
7. Member Misconduct and Disciplinary Actions
Non-Compliance: Failure to adhere to these guidelines and the Code of Conduct may result in disciplinary action, which could include censure, suspension, or expulsion from membership.
- Grounds for Disciplinary Action:
- Breach of the Code of Conduct.
- Conduct that is unlawful, unethical, or unprofessional.
- Actions that damage the reputation of IRMA or the industry.
- Non-compliance with IRMA’s values and standards.
Disciplinary Procedure: Members found to be in breach of the guidelines will be given an opportunity to respond to allegations before any disciplinary action is taken. A disciplinary committee may be formed to review the case and make recommendations.
8. Privacy and Data Protection
Data Collection: Members agree to provide accurate and complete information to IRMA. IRMA may collect and store personal and business details in accordance with applicable data protection laws.
Confidentiality: Members must not share or disclose any sensitive information related to other members or IRMA’s operations unless authorized.
Communication: Members consent to receiving communications from IRMA about industry news, events, and activities. They can opt-out of marketing communications by notifying IRMA in writing.
9. Termination of Membership
Voluntary Termination: A member may terminate their membership at any time by providing written notice to IRMA. Membership fees are not refundable.
Compulsory Termination: IRMA reserves the right to terminate membership if a member fails to comply with these guidelines, the Code of Conduct, or engages in behavior detrimental to the objectives of the Association.
10. Amendments to Terms & Conditions
Review and Updates: IRMA reserves the right to modify, amend, or update these terms and conditions at any time. Members will be notified of any significant changes, and continued membership will constitute acceptance of the updated terms.
11. Dispute Resolution
Internal Disputes: In case of any disputes or disagreements between members or between members and IRMA, both parties should attempt to resolve the matter amicably through direct communication. If resolution is not achieved, the issue may be referred to IRMA’s Dispute Resolution Panel.
Legal Jurisdiction: Any legal matters arising from membership with IRMA will be governed by the laws of India. Members agree to resolve disputes through mediation or arbitration before seeking legal action.
